How Hearthline Approaches Every Engagement
Every Hearthline service follows the same underlying model: we identify what a family needs to know or keep track of, we locate the publicly available sources for that information, and we organise the output in a form the family can use without us in the room.
What changes between services is scope and duration. The information evening is a single two-hour session designed for a room of families at the same broad life stage. The archive service is a four-appointment engagement for one household. The transition support plan is a six-month arrangement for a family managing an extended administrative change.

Service 01
Family Information Evening
A two-hour open session, held twice monthly, explaining in general terms the kinds of documents, public bodies, and processes families in Malaysia commonly encounter during a household change — a move, a marriage, a bereavement, a change in who cares for whom.
The session names publicly available sources for every point it makes and hands out a printed reference sheet. It is education about where information lives, not guidance about what anyone should do. No individual circumstance is discussed in the room, and attendees who wish to raise one are given a referral list at the door.

Service 02
Written Records for the Family Archive
A four-appointment engagement that produces a bound family archive: a chronological index of the household's documents, scanned copies stored on an encrypted drive you keep, a contacts directory listing each issuing body and its own published enquiry channel, and a short written narrative — dictated by you — explaining to a future reader where everything is and why it was kept.
Purely a recording and filing service. The archivist transcribes and organises; they do not interpret, assess, or comment on any document.
Session 1
Document inventory — the archivist works through what the household holds and creates an initial list.
Sessions 2 & 3
Scanning and indexing — documents are scanned, indexed chronologically, and placed on the encrypted drive.
Session 4
Narrative and handover — you dictate the short narrative; the bound archive and encrypted drive are handed to you.

Service 03
Household Transition Support Plan
A six-month arrangement for a family working through a significant change of living arrangement. Includes a monthly facilitated family meeting with written summaries, a shared logistics calendar and handover protocol, one document consolidation project, a checklist of the administrative notifications a household commonly makes when an address or composition changes, and a named coordinator who keeps the paperwork moving.
The coordinator is an administrator, not a regulated professional: every matter requiring expertise is passed, in writing, to a qualified professional of the family's own choosing.

How Every Service Is Delivered
Data Security
Documents shared with us during the archive service are scanned and returned. Copies are placed on an encrypted drive you keep. We retain no copies of household records.
Written Before Action
Any change to agreed scope is documented in writing before it happens. You will not receive an invoice for work not agreed in advance.
Named Sources Only
Information shared in any session is drawn from a publicly available source, named at the point of use and listed on the reference sheet or meeting summary.
Clear Referral in Writing
When a matter falls outside our scope, we say so in writing, name the relevant body, and provide its published contact channel so you can approach it independently.
Support Person Welcome
Any appointment may include a family member, friend, or support person. This is stated in advance and confirmed at the start of every session.
Pace Set by the Family
Sessions proceed at whatever speed suits the family. Archive appointments may be extended or rescheduled without penalty where the family is managing other pressures.
